Refund & Cancellation Policy

    1. Overview

    This Refund Policy explains the terms under which payments made to Botspot AI Technologies Private Limited (“Botspot”, “we”, “our”, or “us”) for products and services offered through the Botspot WorkForce platform are handled. By purchasing any service from us, you acknowledge that you have read, understood, and agreed to this policy.

    2. All Purchases Are Non-Refundable

    We do not provide refunds for any of our services. All of our products are non-refundable, including but not limited to:

    • Monthly and annual subscription plans
    • Usage credits, tokens, and pre-paid balances
    • One-time service fees, setup fees, and add-ons
    • Purchases from the agent marketplace
    • Training programs, workshops, and Campus registrations
    • Custom engagements, professional services, and consulting

    Once a payment is successfully processed, the associated service or benefit is considered delivered at the moment your account is credited or access is granted, and no refund will be issued for unused time, unused credits, or change of preference.

    3. Subscription Cancellations

    You may cancel any recurring subscription at any time from your account settings. When you cancel:

    • No further renewal charges will be applied to your payment method.
    • Your paid features remain active through the end of the current billing cycle.
    • At the end of that cycle, your account will revert to the free tier, where available, or be deactivated.
    • You will not receive a pro-rated refund for the remainder of the billing cycle, regardless of usage.

    4. Credits, Tokens, and Usage-Based Balances

    Pre-paid balances — including tokens, agent credits, and consumption-based quotas — are consumed as the service is used and cannot be reversed. Unused balances:

    • Cannot be converted into cash or refunded.
    • Cannot be transferred between accounts, workspaces, or organizations.
    • May expire according to the terms disclosed at the time of purchase.

    5. Duplicate or Erroneous Charges

    If you believe you have been charged more than once for the same service, or charged in error due to a payment gateway or processing issue, please contact us within 7 days of the transaction. Please include:

    • Your account email
    • The transaction ID or receipt
    • The date and amount of the disputed charge

    Verified duplicate or erroneous charges will be reversed to the original payment method, typically within 7–14 business days of confirmation.

    6. Service Disruptions & Downtime

    Refunds are not issued for temporary outages, scheduled maintenance, or disruptions caused by factors outside our reasonable control, including:

    • Third-party infrastructure providers (cloud hosts, CDNs, databases)
    • Third-party model APIs and inference providers
    • Payment gateway outages or banking failures
    • Force majeure events (see Terms & Conditions)

    For prolonged outages that materially affect your paid usage, Botspot may — at its sole discretion — offer service credits applicable to future billing cycles. Such credits are not exchangeable for cash.

    7. Chargebacks

    We encourage you to contact us before initiating a chargeback or payment dispute with your bank. Initiating a chargeback without first attempting to resolve the issue with us may result in:

    • Immediate suspension of your account and access.
    • Loss of any credits, balances, or content associated with your account.
    • Our right to contest the chargeback with documentation of the service provided.

    8. Third-Party Purchases

    If you purchased access to Botspot through a third-party reseller, distributor, or marketplace, your refund rights are governed by that third party's policy. Please contact the original seller for refund-related requests.

    9. Changes to This Policy

    We may update this Refund Policy from time to time to reflect operational changes, new product offerings, or legal requirements. The revised policy will be posted on this page with an updated “Last updated” date. Continued use of the Platform after changes take effect constitutes acceptance of the updated policy.
